Adding Log Notes, Mass Log Notes & Reminders


Overview

This article will teach you how to create a Single Log Note, Mass Log Notes and a Reminder.  Reminders are intended as a means to add a follow-up task to your log entries i.e. John Doe needs to follow up with Mary Sue on a pledge she has not fulfilled.



Steps to Add a Log Note Entry and a Reminder

Under the Application Menu follow Voters/Donors > Voter/Donor.





Build and run a query to target the record you want to add a log note and reminder to.  In this example I searched from the voters search window and added the log note and reminder to “Steven Adams”, searching by last and first name.

Click on any of the underlined fields to open the record card.





From within the record card tap on the Logs tab and the Log sub-tab.  At this point you can view if the record currenlty has any log notes.  In this example Steven Adams does not have any log note as displayed in the image below.





Click the [New] button from the center tool strip to begin entering a new log note.





On the right side of your screen enter the new log note information.  In this example I will log the amount of hours that Steven Adams spend performing data imports, and I will set a reminder that he still needs to finish 6 more hours before the project is complete.





Log Type – the type of note that you are adding i.e. hours, meeting or note.

Log Date – date that you are adding a new log note.

Amt or Hrs – amount or hours that you want to associate with the note.  The log type will determine if the value entered is an amount or an hours value.

Add/Open Reminder – Click to add a reminder (must be SAVED before you can add a reminder).

After you finish entering the log, click [Save] (if you want to add a reminder - the button will now be active) or click [Save and Close] to finish and close the record.  In this example I clicked [Save] and then I tapped Add/Open Reminder.

Click the [Add/Open Reminder] button to enter a reminder for the note.





Fill out the appropriate reminder information in the reminder note window.  In this example I will create a reminder for Steven Adams to finish 6 hours of import time.  I also select some of the different preferences in this window.





Reminder Action Date – date you want the reminder to take action.

Subject – subject of the reminder.

Method of Action (optional) – the form you want to take action by i.e. Phone, Email or Postal Mail.

Priority (optional) – level of priority, either high or low.

Action To Take (optional) – type of action you would like to take i.e. Schedule Meeting, Send Info, Send Thank You, Follow up etc.

Assigned To – assign the user you want this reminder attached too. This could be the record you are working in if they are set up as a user, or for example it could be a manager who is in charge of overseeing the activities of others and keeping them up to date with speed.

Description (optional) – text field that you can enter the reminder description into.

Completed (optional) – check this box if the reminder is complete.

When you are finished adding the reminder click the [Save] button, located in the bottom right of the reminder note window.





When you have completed adding the log note and the reminder you are finished.  You can view the reminder information in the record card and you can click [Cancel] located in the bottom right of the record card to close it or [Save and Close] if you have made any other edits to the record card.





Steps to Create a Mass Log Note Entry

Run a query to bring up the list of Voters/Donors you need to add a log note too.  In this example I constructed the query by an attribute of my “Event Volunteers” who are between the ages of 18-25 (I built this query from the Attributes tab and the General > Demographics tab.  My intention was to set a mass log note entry where these folks put in volunteer hours as servers for a dinner event I theoretically hosted.  The query populated a list of 25 people.





Click the Edit drop-down on the search tool strip and select Apply Log Notes to Voters/Donors





In the Apply Log Note to Listed Voter Cards window select the Note Date and Log Note Type from the drop-downs and enter the Note in the text field.  When you are finished creating the Log Note Entry click [OK] located in the bottom right of the Apply Log Note to Listed Voters Cards window.  In this example I will use todays date by default and I will select Note as the Log Note Type.  I then entered the note text that relates to these “Event Volunteers” volunteering at the Govenors Dinner Event we hosted.  This example is displayed in an image below:





Click [OK] to continue.

The Trail Blazer system will automatically run the process and present you with the results.  In this case 25 voters had a log note added to them.





Click [OK] again and you are finished adding a Mass Log Note.
