Importing information from a list is something that is more of an art form than a science. The basic information that you will need to get started importing data is located in this document.

Direction for Importing into Trail Blazer


Begin by logging on to Trail Blazer. Next, click on the Voters/(or Donors) icon on the left hand side of the page. Once you have opened up the voters page click on the FILE button at the top left corner of the page.

Once you have all the FILE options opened proceed by clicking on the IMPORT option. It will be the second available choice.

After clicking on IMPORT a box titled “Trail Blazer Import” will appear in the middle of your screen.

Importing has 3 Main Steps - File, Data Mapping, Address Assignment.

STEP 1 - FILE
1. “Import File Type” set most commonly to “From CSV (Comma Delimited Text)”.

1a.  If Import source is SQL you will need to add a database name.  See 3

2. “Type” set most commonly to "Add/Update Contact Records" (Voter/Donor/Contact)

2a. Depending on your import you will have to change the Type option.

3. "Source location" - Location of the File or Database.  For a File a button - [Data Source] will pull up the file open dialog to help you locate the file.  For a SQL database you will need to type in the location (defaults to 'local') \\domainname.com or 192.168.1.1 are both acceptable.

4. Source Group - A best practice for importing is to assign each import to a 'Source Group'

STEP 2 - Data Mapping

1. Check/Uncheck - During import, merge source data with existing records.

1a.  For lists under 10-20 thousand merging might be something you do on import, depending on timing and need for the list you are importing the merging once in Trail Blazer is more efficient.

2. Match Columns - The button [Match Columns] on the bottom center/right of the screen is the next step.  Make sure the file you are importing is closed (not in use by excel/access/word/notepad ext).  Once pressed system will attempt to map the header of the file to Trail Blazer fields.  See KB 62 http://trailblz.com/kb/?action=view&kb=62&cat=1 for mappings.  Also see KB 118 http://trailblz.com/kb/?action=view&kb=118&cat=13 for some Definitions and Explanations of Data types.

 

STEP 3

Address Assignment -

Setting the defaults for the address 1 and the address 2 (if loading an address 2).

Home/Work and other flags.  Commonly the defaults are what you should stick with.  Please call if you are not sure.
